Digital welcome book: Wi-Fi, access and local tips with a dynamic QR

Bring arrival, Wi-Fi, rules, equipment, departure and local recommendations into one mobile guide you can update without reprinting the QR.

A digital welcome book brings every useful accommodation detail into one mobile page reached through a QR code: arrival, Wi-Fi, house rules, equipment, departure, local recommendations, transport, emergencies and contact.

It suits holiday rentals, cottages, hotels, guest houses and Airbnb-style accommodation. Guests find the right answer quickly, while hosts can update the content without replacing signs, cards or stickers that already carry the QR.

Replace scattered messages with one destination

A Wi-Fi code in one message, arrival instructions in another, printed rules and recommendations sent on request soon become fragmented. The welcome book organises them in one clear page that needs no app installation.

The same link can be sent before the stay, added to a confirmation email or displayed on site. Guests open only the information they need, when they need it.

Guide arrivals with fewer calls

The stay section can show the address, check-in and check-out times, parking, floor, unit number and key instructions. A directions button uses either the map link supplied by the host or the property address.

Gate and lockbox codes are sensitive fields. They are hidden by default and should only be enabled when publishing them in the guide is appropriate. Access codes should still be renewed regularly, and the QR should not be displayed on an uncontrolled public surface.

Make Wi-Fi available in seconds

The network name, password and a note can appear in a dedicated card. Guests can copy the password or open the guide’s Wi-Fi QR to make connecting easier.

You can hide the entire section or only the password, adapting the book for in-property display, pre-arrival sharing or guest-only access.

Explain rules, equipment and departure

The book supports up to 16 house rules and a departure checklist of 16 tasks. Explain waste sorting, dishes, keys, windows or the final departure time without printing a new sheet after every change.

Up to 16 equipment items can include a name, description, image and link to HTTPS instructions. Coffee machines, heating, spas or televisions therefore get guidance that is easy to retrieve.

A waste section can contain up to 12 instructions. Practical information also covers parking, breakfast, climate and a general equipment description.

Share up to 16 local recommendations

Restaurants, sights, shops, transport, healthcare, beaches, activities or markets: the book can display up to 16 recommendations. Each entry supports a title, category, description, address, phone number, badge, image and link.

A favourite can be highlighted. Instead of repeatedly answering “where should we eat?”, the host shares a selection consistent with the destination and the guest experience.

A separate transport section supports up to 12 options, each with a description and link: train, bus, shuttle, bicycle, taxi or park-and-ride.

Keep emergency details and contact close at hand

A dedicated section can list important numbers, emergency procedures or building-specific instructions. The contact card shows a name and role, followed by the channels you select: phone, email or WhatsApp.

Call, WhatsApp, Directions and Share buttons reduce the number of steps. An optional main button can lead to phone, email, WhatsApp, directions or a custom HTTPS URL.

Control section visibility and order

All eleven sections — stay, departure, Wi-Fi, rules, equipment, practical information, waste, recommendations, transport, emergency and contact — can be shown, hidden and reordered. Detailed elements such as the address, Wi-Fi password and individual contact methods also have their own controls.

A compact studio does not need the same guide as a hotel or family cottage. This flexibility prevents an endless page and puts priority information first.

Match the design to the accommodation

Three palettes provide a starting point: Nature, Sea and Hotel. Colours, typography, content width and header, card and button styles can then be adjusted. A cover image and selected Google Fonts can reinforce the visual identity.

The SEO title and description are editable, as is the guide’s public status. Before publication, check that no sensitive information is exposed to someone who is not a guest.

Measure useful views and actions

Depending on the analytics included in the plan, GreenQRCode records views and interactions with Wi-Fi, directions, phone, email, WhatsApp, the main button and sharing. Opens on recommendations, equipment and transport can also reveal the most useful content.

These signals help improve the guide: move a frequently searched instruction higher, explain an appliance more clearly or refresh a popular recommendation.

Update the guide without reprinting the QR

A dynamic QR separates the physical medium from the page it opens. Change the Wi-Fi password, correct check-in time, replace a local tip or add an instruction without changing the QR already printed.

The digital welcome book is available from the Starter plan, with limits of 1 book on Starter, 5 on Pro and 25 on Business. Each property can have its own content while remaining centrally managed.

Checklist before placing the QR in the property

  1. Test the scan on several phones at the final size and location.
  2. Review the arrival journey as a guest who has never visited.
  3. Limit sensitive data and hide access codes when they should not be public.
  4. Check directions, phone, email, WhatsApp and external links.
  5. Keep the page concise and prioritised so urgent information stays easy to find.
  6. Update the content whenever a time, password or recommendation changes.

A better welcome, even when the host is off site

A good welcome book does not replace hospitality. It prevents practical details from getting in its way. Guests become more independent, instructions remain consistent and the host can improve the experience after every stay.
