Event & Invitation: a dynamic QR code for guests and event information

Centralise date, venue, programme, practical information and RSVP in a mobile showcase you can update without reprinting the QR code.

The Event & Invitation showcase turns a QR code into a mobile invitation that can keep evolving until the event begins. The QR can be printed on an invitation, poster, badge or programme, or sent by message: as long as you keep the same QR, you can update event information without reprinting media already distributed.

This showcase supports different contexts: weddings, birthdays, conferences, parties and other events. It brings essential information, useful smartphone actions and optional RSVP responses together in one place.

One access point for all event information

A traditional invitation becomes difficult to correct once it has been printed or sent. With a GreenQRCode dynamic QR, the QR keeps its access point while the associated showcase can be updated.

You can present:

  • event title, subtitle and description;
  • start date, end date and time zone;
  • a cover image;
  • venue name, full address and access instructions;
  • the organizer contact details you choose to display;
  • a detailed programme and practical information;
  • an RSVP form when you want to collect responses.

If the schedule changes, another parking area opens or you need to publish a last-minute instruction, edit the showcase: copies of the same QR already distributed then open the updated information.

Wedding, birthday, conference or party: adapt the showcase to the context

The same showcase type can support very different events. For a wedding, you might prioritise venue details, dress code, accommodation, the day's programme and attendance confirmation. For a conference, the programme, timings, venue, transport and an official website link may matter most.

GreenQRCode lets you choose the event type — wedding, birthday, conference, party or other — and then customise its presentation without changing how the QR works.

Show a countdown before the event

The countdown can be enabled to automatically display the time remaining before the start. It shows days, hours and minutes, then changes its message once the event begins or ends.

This is useful when an invitation is shared weeks in advance because the page remains active and immediately gives guests a time reference.

Build a clear programme with up to 30 steps

Instead of placing the entire schedule in a long paragraph, the showcase can display a structured programme. You can add up to 30 steps, each with a time, title and optional detail.

Example for a wedding:

  • 14:30 — Ceremony;
  • 16:00 — Cocktail;
  • 19:30 — Dinner;
  • 23:00 — Party.

The programme can be reordered in the editor. If one time changes, update that step and keep the same QR.

Share practical information without overloading the invitation

The Practical Information section separates topics guests often look for at the last minute:

  • parking;
  • transport;
  • accommodation;
  • dress code;
  • other practical information.

This is easier to read on mobile than one long text block and makes targeted updates simpler. You can also hide the introduction or venue/access section without deleting the saved data.

RSVP: collect responses and control capacity

RSVP is optional. When enabled, guests can say they are attending, not attending or, when you allow it, answer “Maybe”.

You can configure:

  • a response deadline;
  • total capacity;
  • whether additional guests are allowed;
  • the maximum number of people per response;
  • a custom confirmation message.

The form can also collect a phone number, dietary requirement or allergy, and a message for the organizer. If a guest reuses the same email address, the existing response can be updated instead of creating a duplicate.

When the configured capacity is reached, GreenQRCode prevents a response from adding more people than the remaining places allow.

Review responses in a private workspace

RSVP responses and statistics are available inside the showcase editor in your GreenQRCode workspace. You can review received responses, number of people and the information submitted by guests.

This management area stays private in your workspace and is not displayed on the public event page.

Useful smartphone actions for guests

Several buttons can be enabled independently on the public page:

  • Add event: downloads an ICS calendar file;
  • Save contact: downloads a VCF contact when the visible details allow it;
  • Directions: quick access to the venue using the configured address;
  • Share: shares the invitation or copies its link.

You can also add one optional primary button to an HTTPS destination such as a wedding list, livestream, official website, accommodation booking or another useful page.

Choose exactly which organizer details are public

An invitation does not need to expose every organizer contact detail. GreenQRCode lets you control the Organizer section, email, phone number and website separately.

The downloadable VCF follows those choices as well: a detail hidden from the showcase is not added to the contact file. This lets you publish only the information that is useful for the event.

Customise the visual atmosphere

Advanced customisation lets you match the invitation to the event identity without changing its content:

  • background, card, text, accent and button colours;
  • header styles: large cover, split cover or minimal;
  • soft, outlined or flat cards;
  • rounded, pill or square buttons;
  • compact, standard or wide content width;
  • system, modern or elegant fonts, plus the available Google Fonts.

The page should remain readable on a smartphone. A strong visual identity still needs clear information and easy actions.

Prepare SEO and decide when to publish

The showcase includes an SEO title and SEO description. You can also decide whether the page is published, allowing you to prepare the invitation before making it publicly accessible.

Before distribution, scan the QR on several smartphones and test every enabled action: calendar, directions, sharing, RSVP and the optional primary button.

Mistakes to avoid before sending invitations

  1. Printing before testing the QR. Check the real medium, not only the on-screen preview.
  2. Creating a new QR for a simple correction. Update the existing showcase so media already distributed keep working.
  3. Publishing too many contact details. Expose only what guests genuinely need.
  4. Forgetting the time zone. This is especially important for international or online events.
  5. Leaving RSVP unrestricted when capacity is limited. Configure an appropriate deadline, capacity and guest rules.
  6. Overloading the page. Enable only the sections your guests need.

An invitation that can evolve until the last moment

The main advantage of Event & Invitation is separating media already distributed from information that changes. The printed invitation, badge or poster keeps its QR while venue details, programme, practical information, actions and RSVP can continue to be managed in the showcase.

This gives guests a more useful mobile invitation and gives organizers a page that is easier to maintain before and during the event.
